Job Description

We are seeking a highly organized and detail-oriented Event Coordinator to assist in the coordination and execution of Visit AKY events. The ideal candidate will have experience in event planning and be able to work efficiently under pressure and manage multiple projects simultaneously.

Qualifications

  • Excellent communication and interpersonal skills

  • Knowledge of event planning, including budgeting, vendor management, and logistics

  • Excellent time-management skills and ability to meet tight deadlines

  • Ability to work flexible hours, including evenings and weekends as needed

  • Ability to work independently and as part of a team

  • Ability to work in google suite, and other office software such as Canva

Responsibilities & Duties

  • Vendor Coordination: This includes vendor recruitment, maintaining all vendor applications, serving as the main point of contact for vendors, managing all vendor space assignments, and day of coordination at events. 

  • Develop and maintain strong relationships with vendors, customers, and community partners

  • Ensure all event activities comply with health and safety regulations

  • Assist in the set-up and tear-down of events and ensure the event area is kept clean and organized

  • Manage and track sponsor relations, including correspondence, payments, and fulfillment of sponsorship benefits

  • Always maintain a professional attitude and keep in mind this position reflects the City of Ashland and tourism

This role requires a high level of creativity, project management, and communication skills to ensure successful and memorable events.
